| Tower Hamlets Borough Council are looking for an Admin Officer to work within their Community Safety Administration Team. The main area of the job involves using a data base and contacting clients via the phone. The candidate should have experience of using a Database and dealing with clients who may be upset and stressed. Purpose of Job: "To provide effective and efficient administrative and business support to the service. "To undertake the effective co-ordination and servicing of meetings and events for the Service. "To contribute to developing and implementing administrative systems and procedures to ensure the efficient running of the Service, including the maintenance of filing systems and managing computer records systems. "To deal effectively and efficient with personal, telephone and written enquiries into the Service, including contributing to the effective management of members' enquiries and complaints, in accordance with Council policies and procedure. Main Duties and Specific Responsibilities: 1. To develop and maintain a range of administrative processes including effective filing, recording, monitoring and co-ordination of data, ensuring that administrative procedures are efficient, organised and user-friendly. 2.To provide an effective response to personal and telephone callers to the Service, ensuring a consistent and high-quality response, in accordance with the Customer Promise. 3.To ensure all Members Enquiries, complaints and other correspondence is responded to within corporate deadlines and of a high quality, using effective monitoring systems. 4.To develop and support all necessary IT systems including computerised databases, programmes and applications, monitoring systems and the production of statistical reports arising from such information. 5.To collate information arising from the work of the Service and compile high-quality and timely reports. 6.To co-ordinate and service meetings held by the Service, including the ASB Scrutiny Board, ASBO consultation group, case conferences, multi-agency fora and other meetings as directed by the CS Administration Manager. 7.To contribute to the effective running of events for the Service. 8.To manage and maintain administrative resources for the Service, including office supplies and equipment. 9.To provide support and advice to staff in the Service on administrative matters, providing a high-quality and responsive service to meet needs. 10.To support the implementation of policies and procedures to deliver improved services.
