Purpose of Job:To carry out clerical, reception and data-entry duties that will ensure smooth and efficient execution of sales, recruitment and timesheet administration within the Branch.Accountabilities:To be responsible to the Account Managers. Main Duties:*To assist in the preparation of marketing and other client and candidate literature to ensure proper communication with them.*Researching potential new clients that may be in need of labour and sending flyers out with information of the services we provide.*To answer telephones as a priority within the branch.*Registering candidates on the computer system.*Ensure adequate stationery supplies are kept in stock.*To work with the Account Managers to ensure legible, accurate and prompt provision of worker, client and timesheet information.*When required, taking job descriptions, creating sites and bookings on database.*To undertake general reception and other admin duties as required.*Payroll liaison.*Collation of time sheets and subsequent submission to payroll department.*Dealing with clients on a daily basis ensuring that they have received documentation sent out to them, and when necessary asking to return a signed copy. *When required speak to clients regarding operatives timesheets.*Collation of outstanding client booking confirmations and operatives' contracts.*When required speaking to clients and obtaining finishing references in conjunction with the Account Managers.*Maintenance of hard copy filing system.*Maintaining and organising training for candidates such as CSCS, Tubelines, ECS.*Compliance spot checks including running reports from computer system.*As required dealing with client introduced labour, from order through to payment.*Other duties from time to time as advised.*Reporting in to Business Development Account Managers.*Lead generation.*Build and maintain relationships with Clients in conjunction with Account ManagersProviding support in Resourcing to find operatives for specific job positions, obtaining relevant qualifications, references and ID.*Locate and secure candidates for positions*Ensure jobs are filled and details are given to candidates*Carry out required reference checking in conjunction with the Account Manager*Build and maintain a database of available candidates*Keep the database up to date by checking all relevant information is updated on a daily basis*Correctly input all required fields into the computer system in order to generate all necessary information for transmission to accounts and payroll for all starts and terminations.*Put the individual on the booking browser for the correct Manager in conjunction with the Account Manager.*Maximise the %margin when filling vacancies*Ensure all candidates are processed to On-Site Recruitment procedures.*Ad response is taken on a daily basis and completed correctly on the computer system, also aiming to gain leads from potential candidates.*Management of candidates database i.e. duplications*Ensure individual work records are kept up to date including ID and references.*Confirm all procedures have been performed correctly before temp is placed to work.*Ensure non-conformance reports are completed when appropriate.*Obtain all relevant information prior to temp starting, including id or any qualifications.*Complete CCOs when required.*Obtain candidate appraisals / references when finishing a contract for On-Site.*Placement of advertising in conjunction with the Account Manager including job centres and Broadbean posting.*To be polite and courteous to clients and others at all times.Must be able to work 07.45 - 17.30 Monday - Friday
